What this notice is

This notice explains in plain language how Evntful's AI matching system works, what data it uses, what it does not do, and what rights you have in relation to it. It is referenced in our Attendee Terms and Conditions and Privacy Policy and forms part of our commitment to transparency under UK GDPR.

What the matching system does

When you sign up for an Evntful-powered event, you provide information about yourself — your professional background, your interests, and your answers to a short questionnaire. Our AI system takes this information and compares it with the same information provided by other attendees at the same event. It then generates a list of people at that event who we think you should meet, based on shared professional context, complementary interests, or mutual relevance.

You receive your match recommendations before the event so you arrive already knowing who you want to connect with. After the event you may receive follow-up connection prompts with the same matched attendees.

What data the system uses

The AI matching system uses only the data you voluntarily provide at sign-up. This includes your name, professional background, job title, company name, LinkedIn profile if provided, stated interests, and questionnaire responses. It does not use your location, device data, browsing history, or any data from outside the Evntful platform.

What the system does not do

The system does not make decisions about your access to services, employment, credit, or any matter with legal or similarly significant effects. It is a recommendation tool only. It does not profile you in any way beyond the specific purpose of suggesting relevant people to meet at a specific event. It does not build a permanent behavioural profile over time.

The system does not use your data for any purpose other than generating match recommendations for the event you have registered for.

How we work to make matching fair

We are committed to ensuring our matching system is fair and does not discriminate on the basis of gender, race, ethnicity, age, religion, sexual orientation, or any other protected characteristic. We actively monitor our matching outputs to identify and address any patterns that could indicate bias. We do not use protected characteristics as matching inputs.

Because our matching is based solely on professional information and stated interests that you choose to provide, the risk of discriminatory outcomes is low. However we acknowledge that no AI system can guarantee the complete absence of unintended bias and we commit to ongoing review.

Your right to human review

Because our matching system makes recommendations rather than binding decisions, it does not constitute automated decision-making under Article 22 of UK GDPR. You are always free to disregard any match recommendation. However if you believe a match recommendation has affected you in a significant way and you would like a human to review how it was generated, you can request this by contacting info@evntful.co.uk. We will respond within 30 days.

Your right to opt out

You can opt out of AI-assisted matching at any time by contacting info@evntful.co.uk. Please note that opting out means you will not receive match recommendations for events you attend. It does not affect any other aspect of your experience.

How long we keep matching data

Your matching profile data is retained for the duration of your engagement with Evntful plus 12 months. It is used only to generate recommendations for events you have registered for. It is not sold, shared for commercial purposes, or used to train external AI models.
