Evntful Ltd is incorporated in England and Wales, company number 14281820, registered address 1 Varcoe Road, London, SE16 3FS. We are the Data Controller for personal data collected through the Evntful platform and website.

We operate a technology platform that helps people connect at events through AI-assisted pre-matching. We are not an event organiser or venue operator. We are a third-party platform.

We are registered with the Information Commissioner's Office. If you have concerns about how we handle your data you have the right to complain to the ICO at ico.org.uk or by calling 0303 123 1113.

We collect personal data in the following categories:

Identity and contact data — your name, email address, job title, and company name. We use this to create your profile, deliver your match recommendations, and communicate with you about events.

Professional profile data — your LinkedIn profile URL, professional background, stated interests, and questionnaire responses. We use this to generate your personalised match recommendations through our AI matching system.

Event attendance data — which events you have registered for or attended. We use this to personalise your experience and improve our matching over time.

Communications data — your email preferences and whether you have opted in to marketing communications. We use this to send you match recommendations, event follow-ups, and where you have opted in, information about future Evntful events.

Technical and usage data — how you interact with the platform, device type, and browser information. We use this to improve the platform and fix technical issues.

We do not collect payment card details. We do not collect sensitive personal data such as health information, racial or ethnic origin, political opinions, or religious beliefs.

We process your personal data on the following legal bases under UK GDPR:

Contract — to deliver the matching service you signed up for.

Consent — for AI-assisted matching and for marketing communications. You give this consent when you complete sign-up via the Evntful link. You can withdraw it at any time.

Legitimate interests — to improve our platform, prevent fraud, send transactional event follow-ups, and contact you about future events similar to those you have attended. We have assessed that our legitimate interests do not override your rights.

Legal obligation — to comply with applicable UK laws including HMRC requirements.

With matched attendees — your name and relevant professional information will be shared with the people we match you with at the same event. Your direct contact details such as email or phone number will not be shared without your further explicit consent.

With event organisers — we receive your data from event organisers who have confirmed you have been informed of this sharing. We do not share your personal data back to organisers beyond what is necessary to operate the event.

With service providers — we work with trusted third-party providers for email delivery, data storage, and analytics. All are bound by data processing agreements and may not use your data for their own purposes.

We never sell your personal data to any third party. Ever.

You have the following rights regarding your personal data. To exercise any of them contact info@evntful.co.uk. We will respond within 30 days.

Right of access — to request a copy of the data we hold about you.

Right to rectification — to request correction of inaccurate data.

Right to erasure — to request deletion of your data.

Right to restrict processing — to limit how we use your data.

Right to data portability — to receive your data in a structured machine-readable format.

Right to object — to object to processing based on legitimate interests.

Right to withdraw consent — at any time for AI matching and marketing communications. Withdrawing consent does not affect the lawfulness of processing before withdrawal.

Rights related to automated decision-making — to request human review of any automated decisions that significantly affect you.

Active account and profile data — retained for the duration of your engagement with Evntful plus 12 months after your last interaction.

Event attendance records — retained for 3 years for business and legal purposes.

Financial and transaction records — retained for 7 years in accordance with HMRC requirements.

Marketing preferences and consent records — retained for as long as you remain on our marketing list, deleted within 30 days of unsubscribing.

Data submitted by event organisers via CSV — deleted within 30 days of the relevant event unless you have also signed up directly through the Evntful platform.

Where data is no longer needed we will either delete it securely or anonymise it for statistical purposes.

We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, or alteration. In the event of a data breach that affects your rights and freedoms we will notify you and the ICO within 72 hours of becoming aware of it, as required by UK GDPR.

We aim to store and process all personal data within the UK or EEA. Where any transfer outside these areas is necessary, we will ensure appropriate safeguards are in place including Standard Contractual Clauses approved by the relevant authority. We will not transfer your data internationally without a lawful mechanism in place.

If you have opted in to marketing communications at sign-up, we may contact you about future Evntful-powered events and platform updates. Every marketing email includes a clear unsubscribe link. Clicking it removes you from our marketing list immediately. You can also unsubscribe at any time by emailing info@evntful.co.uk.

We will never add you to a marketing list without your active opt-in. If you signed up via an event organiser's link but did not tick the marketing opt-in, you will only receive transactional communications directly related to that event.

Our platform may contain links to third-party websites. We are not responsible for the privacy practices or content of those sites. Please review their privacy policies before providing any personal data.

Evntful is not intended for anyone under the age of 18. We do not knowingly collect personal data from anyone under 18. If you believe we have inadvertently done so please contact info@evntful.co.uk immediately.

We may update this Privacy Policy from time to time. We will notify you of any material changes by email or prominent notice on the platform at least 14 days before they take effect. The current version is always available at evntful.co.uk/privacy.
